How can you create reports, newsletters and reminders without much effort?

Managing a business requires taking care of many different activities and paying enough attention to each and every one of them. Just as you have finished with processing orders, communication with clients and suppliers, acquiring extra supplies and closing travel orders, the end of the month has arrived.

This means that you must, once again, create financial reports to be sent to the accountants, write newsletters for the buyers, another one for the clients, create report which keeps track of the increase in the number of users… The list goes on and on, and going through the records and creating reports out of them seem like a never-ending story.

What are reports and why do we need them?

Reports are documents which give us the results of certain processes. Naturally, there are different kinds of reports. A financial report will give you the statistics on net gains and losses in a specific period, while a report on stock supplies suggests which products you are lacking and should order. If you are doing a report on clients and users, you will get an insight into their increase or decrease related to the previous month, where they come from etc.

If a report suggests that one product is sold more than the others, you will know that you must order more supplies of this product and focus your marketing strategy on it in order to increase sales and profits. In other words, reports give you a chance to follow processes inside your company. By following them, you can determine future actions and introduce changes, which in turn lead to improvement.

How can you create reports?

Let’s say your company deals in internet sales, i.e., that you own a web shop. You would want to keep track of your stocks on a weekly basis in order to acquire those products that are low on stock. If a software program you use has WMS, you will load all products as well as their stock levels and make notes of their numbers compared to the previous week.

In the end you will end up with numbers which show the products that are low on stock and see their sales rate. Creating reports can be time consuming and dreadful, but they are necessary in order to successfully manage your business. So, the main question is: does it have to be this complicated?

Software programs offer a solution

We have previously written about the numerous advantages offered to you by digitalisation. What many aren’t aware of is that we can use modern technology when it comes to reports as well. New generation of software will collect the needed data and automatically create reports.

In other words, one of the features modern software programs have will load the aforementioned stock levels and automatically provide you with the numbers you need. There are no more notes, comparisons and long hours - the main role of software is to save you time and money. This begs the question, what else can it be used for?

Adaptable software makes your job easier

If your software is adaptable, it can be used in numerous combinations. In an ideal situation, your software will offer you different kinds of reports: on bills, invoices, clients, products, product types, suppliers or users. Another great option is filtering on each of these categories. For example, products can be filtered according to their expiration date or stock, and clients based on their name or address.

Amazing software feature which will save you from unwanted stress is scheduling reports. This feature means that the program will automatically create reports when needed, and you don’t have to worry about deadlines. You can set it to automatically create financial reports at the end of the month, and stock reports on a weekly basis. It’s up to you to process and use them wisely.

How can you use DimensionMS features?

DimensionMS software program has many features which can be used for easier and simpler business processes. Completely adaptable, this software offers different entities as a basis for reports (invoices, clients, products…), as well as attribute filtering for each entity (weight, date of delivery, payment method, amount, amount + tax…). Most importantly, you don’t have to worry about deadlines because scheduling feature will do it for you.

Best of all, these two options - reporting and scheduling - can be used to simplify other actions. Due to the possibility of scheduled sending reports via e-mail, they can be turned into newsletters for clients or internal reminders for your co-workers. By sending report on stocks to your clients, they will know which products are available for order. On the other hand, sending them to your co-workers will remind them to order products that are low on stock.

With all these digitalisation opportunities at your disposal, we strongly advise you to use them! Choose a high-quality software, make creating reports seem like a piece of cake and improve your business. Use all the advantages at your disposal wisely and you can achieve much more than you can possibly imagine.
